WinningKPI - Project Management - KPI for Measuring of Deviation of planned time schedule posted in category Project Management Oana Boteanu This indicator is for measuring the deviation of the project’s planned time schedule. In other words, it measures the planned baseline against the actual schedule that the project runs on.
This is an important Project Management KPI, as time is an essential part of a well delivered project. Time can be the key to whether deadlines are met, the project cost is met or exceeded etc.
Project managers generally set a planned schedule that gives room for contingencies to be applied, e.g. extra days or months to the project.
This KPI can also be used to identify and improve processes in the project that impact on the time schedule (e.g. conference calling can make meeting with business partners from abroad easier and faster). Time represents a high cost for the company, hence keeping on schedule (or below) whilst maintaining quality standards is a goal of every company.
A high deviation of planned schedule may imply higher costs and lower ROI for the company.

KPI Expert I work in the HR department of a Research Council and I was given a project to manage for renewing the company’s polices, and brining them up to date to the new legal requirements.
My initial planned schedule was of two months, however, due to one of the staff members leaving (key member in the project) we all had to be delayed and I am now 2 weeks behind schedule.
The formula below is useful, at it helped me understand the deviation and put it into my project plan (now moving on to contingencies).
Planned Baseline: 8 weeks
Actual Baseline: 10 weeks

I am now in week 6, but with only 4 weeks of work accomplished.
Therefore:

4/6 x 100 = 66%
Only 66% of the work has been accomplished, therefore I am 24% behind schedule.

Another way to calculate would be:

(Planned Baseline – Actual Schedule) / Planned Baseline x 100 =
(6-4)/6 x 100 = 2/6 x 100 = 34%
